1. Information We Collect

1.1 Personal Information You Provide

When you request a quote, sign up for service, or interact with our website, we may collect the following personal information:

• First and last name
• Service address (physical address)
• Email address
• Phone number
• Pet details (number of dogs, breeds, names)
• Yard information (gate access details, when the yard was last scooped)
• Billing and payment card information

1.2 Information Collected Automatically

When you visit our website, certain information is collected automatically through cookies, localStorage, and analytics tools. This may include:

• IP address, browser type, device type, and operating system
• Pages visited, time spent on pages, and referring URLs
• Clicks, scrolls, form interactions, and session recordings (via PostHog)
• General traffic and usage data via Google Analytics (e.g. pages viewed, approximate location, and device/browser type)
• Cookies and localStorage data used to remember your quote selections and improve your experience
• Contact details you type into our forms, such as the instant quote and giveaway entry forms, which the Meta Pixel may read in a scrambled (hashed) form for advertising purposes (see Section 4.2)

1.3 Analytics and Session Recording

We use PostHog, a product analytics platform, to record and analyze user sessions on our website. This helps us understand how visitors interact with our site so we can improve the user experience. Session recordings may capture mouse movements, clicks, scrolls, and page content but are used solely for internal improvement purposes.

We also use Google Analytics 4, a web analytics service provided by Google, to measure overall traffic and understand how visitors find and use our site. Google Analytics sets cookies (such as _ga) and may collect your IP address (typically anonymized/approximate), the pages you view, and your device and browser type. This information is aggregated and used solely to measure and improve our website and marketing. You can review Google's Privacy Policy or opt out using the Google Analytics Opt-out Browser Add-on.

1.4 Giveaways and Contests

When you enter a Doody Free giveaway, we collect your name, email address, phone number, and address; your dogs' names; when your yard was last scooped; one photo of your dog; and, if you choose to share them, a photo of your backyard and a short note about your household. We also record the invite code you entered, if any, and create an invite code for you to share. Here is how we handle that information:

• Your pet photo: by entering, you give us permission to use it on our website, our social media pages, and in our marketing and promotional materials, together with your first name and your dogs' names. We never publish your last name, address, phone number, or email.
• Your backyard photo: used only to plan service if you win. It is never judged, published, or shared.
• Photo details: photos are converted in your browser to a standard JPEG before they are uploaded, which removes hidden location (GPS) and camera information. They are stored privately and can only be viewed by the Doody Free team.
• Your profile: if you are not already a Doody Free client, your entry creates a profile in our CRM, the same way a quote request does. If you already are a client, your entry is linked to your existing account and does not change it.
• Advertising: when you submit your entry, the Meta Pixel on our website may send Meta a scrambled (hashed) copy of the contact details you entered, so we can measure and improve our ads. Your photos are never sent to Meta this way. See Section 4.2.
• No payment information: we never ask for card or payment details to enter a giveaway or to claim a prize.
• Deleting your entry: you can ask us to delete your entry and photos at any time (see Section 9). Photos we published before your request may remain in those earlier posts.

2. How We Use Your Information

We use collected information for the following purposes:

• To provide, schedule, and manage dog waste removal services
• To create and maintain your client profile in our CRM system
• To process payments and send invoices and receipts
• To send login magic-links for account access
• To communicate service updates, including on-the-way notifications and job completion confirmations
• To send promotional, marketing, or informational communications
• To improve our website, services, and user experience through analytics
• To generate and deliver personalized price quotes
• To run giveaways and contests, including judging entries and contacting entrants and winners
• To create, optimize, and target digital advertising on platforms such as Google Ads, Facebook, Instagram, and other channels
• To build audience segments and lookalike audiences for advertising purposes

3. Client Profiles and Communications

When you provide your phone number and/or email address, this information is saved in our customer relationship management (CRM) system and used to create your account on our client portal at app.staydoodyfree.com. Through the portal, you can view invoices, track completed jobs, and manage your account. Your information is used for the following purposes:

• Creating and managing your client profile
• Sending magic-link login emails for secure account access
• Sending text notifications when we are on our way to your yard
• Sending text or email confirmations when a job is complete
• Sending marketing and promotional messages about our services

4. Cookies, localStorage, and Tracking Technologies

Our website uses cookies and browser localStorage to store information such as your quote selections, address data, and site preferences. These technologies help us provide a faster, more personalized experience when you return to our site.

We also use third-party analytics and tracking tools, including PostHog, to understand website usage patterns, optimize our marketing efforts, and improve service delivery.

4.1 Tracking Pixels and Advertising Technologies

Our website may use tracking pixels (also known as web beacons or conversion tags) from third-party advertising platforms, including but not limited to Google Ads, Meta (Facebook and Instagram), and other digital advertising networks. These technologies allow us to:

• Measure the effectiveness of our advertising campaigns
• Deliver targeted and retargeted advertisements to visitors who have interacted with our website
• Build custom and lookalike audiences to reach potential customers with similar interests
• Track conversions such as quote submissions, signups, and other website actions

These third-party platforms may use the data collected through pixels and cookies in accordance with their own privacy policies. We encourage you to review the privacy policies of Google (policies.google.com) and Meta (facebook.com/privacy) for more information on how they handle data.

4.2 Meta Pixel and Advanced Matching

We use the Meta Pixel on www.staydoodyfree.com with Meta's "automatic advanced matching" turned on. When you fill in or submit a form on our website, such as the instant quote form or a giveaway entry form, the pixel may collect the following details you entered:

• First and last name
• Email address
• Phone number
• City, state, ZIP code, and country

These details are scrambled (hashed) in your browser before they are sent to Meta. Meta uses them to match website visits and actions, such as a quote request or a giveaway entry, to people with Facebook or Instagram accounts. We use the results for marketing and advertising: to measure how well our ads work, to show ads to people who have visited our website, and to build custom and lookalike audiences. Meta handles this information under its own Privacy Policy. We do not send your street address, your pet or yard photos, or payment information to Meta this way.

4.3 Your Choices

You can limit how Meta uses information from websites for ads in your Facebook or Instagram settings, under "Ad preferences" and "Your activity off Meta technologies". Many browsers and ad-blocking tools also block pixels. You can ask us to delete the information we hold about you at any time (see Section 9).

You can control cookies through your browser settings. Disabling cookies or clearing localStorage may affect your ability to use certain features of our website, such as the instant price calculator.

5. Sharing Information with Third Parties

We do not sell your personal information.

We may share information with trusted third-party service providers who assist us with:

• Payment processing
• Email and SMS communications
• Analytics and session recording (PostHog)
• Advertising and ad measurement (Meta and Google), including the hashed contact details described in Section 4.2
• Customer relationship management
• Website hosting and infrastructure

All third-party providers are required to handle your data in accordance with their own privacy policies and are prohibited from using your information for purposes other than those we have authorized.

We may also disclose your personal information if required by law, to protect our rights, or to ensure the safety of our users or the public.

6. SMS and Text Message Communications

Doody Free runs two separate text message programs. You choose each one with its own checkbox when you reserve service, and your choices are stored with your account along with the date and time you gave them.

6.1 Account and service texts

When you tick the service-texts box and provide your phone number, you agree to receive account and service messages from Doody Free at that number. These include visit reminders, on-the-way notifications, gate photos and job completion confirmations, billing and payment notices, account login links, and replies to questions you send us. This consent is required to receive service, because these messages are how we confirm each visit. Message frequency varies with your service schedule, typically one to three messages per visit.

6.2 Marketing texts

Marketing texts are optional and are never required to receive service. If you tick the marketing box, you agree to receive occasional promotional messages from Doody Free, such as promotions, seasonal offers, and referral program updates, typically no more than a few messages per month. You can leave this box unticked and still receive full service.

6.3 Opting out and getting help

You may opt out at any time by replying STOP to any text message, and you will receive one final confirmation that you have been unsubscribed. Because both programs are sent from one number, replying STOP ends all texts from Doody Free, both service and marketing, in which case we will contact you by email or phone call about your visits. Reply HELP to any message, or contact us at info@staydoodyfree.com or (253) 545-1670, for assistance. Message and data rates may apply. Carriers are not liable for delayed or undelivered messages.

We do not sell your phone number or your text message consent, and we do not share them with third parties or affiliates for their own marketing or promotional purposes. We share your phone number only with service providers that help us run our business, such as those that deliver our messages, and, when you enter it in a form on our website, in scrambled (hashed) form with Meta through the Meta Pixel so we can measure and target our own ads (see Section 4.2). Your text message consent itself is never shared.

6.4 Giveaway entries

When you enter a giveaway, the entry form's agreement checkbox covers texts and emails from Doody Free about your entry, the results, and our promotions and offers. It is separate from the service-texts consent described above, and it is never a condition of any purchase. We send one automatic email to confirm your entry; any other giveaway messages are sent by our team. You can reply STOP to any text or use the unsubscribe link in any email to stop them.

7. Email Communications

We may contact you by email for service updates, billing notifications, promotional offers, and general communications. You may opt out of marketing emails at any time by clicking the unsubscribe link included in any email.

8. Data Storage and Security

Your data may be stored on servers provided by third-party hosting vendors with whom we have contracted. We use reasonable security measures, including encryption (SSL/TLS), to protect your personal information from unauthorized access, use, or disclosure.

No method of transmission over the internet or electronic storage is completely secure. While we strive to protect your information, we cannot guarantee absolute security.

9. Right to Deletion

You may request deletion of your personal information by contacting us at info@staydoodyfree.com. Upon receipt of a verifiable request, we will delete your personal information from our records and direct our service providers to do the same, except where retention is required to complete a transaction, detect fraud, comply with legal obligations, or for other lawful purposes.

10. Children's Privacy

Doody Free does not knowingly collect personally identifiable information from children under the age of thirteen (13). If you are under thirteen, you must ask your parent or guardian for permission to use this website.

11. Links to Third-Party Sites

Our website may contain links to other sites. We are not responsible for the privacy practices or content of those sites. We encourage you to review the privacy policy of any site you visit.

12. Opt-Out and Unsubscribe

You may opt out of marketing and promotional communications at any time by:

• Replying STOP to any SMS/text message (this also ends service texts; we will then reach you by email or phone about your visits)
• Clicking the unsubscribe link in any marketing email

13. Changes to This Privacy Policy

We reserve the right to update this Privacy Policy at any time. Material changes will be communicated by email, text, or prominent notice on our website. Your continued use of our website or services after changes are posted constitutes acceptance of the updated policy.
